1) Check the Recycle Bin:

Look for the Bin icon at the bottom left of the screen of the user that deleted the content.

Please be aware that recycle bins are periodically emptied by the setting you have chosen here: 

Admin > Site > Bin

Files are permanently deleted after this threshold has been reached.

Other pages describe how to restore missing files from the bin or recover deleted space content from the bin.

2) Use the Audit Logs to filter on user activity

Admin > Logs > Choose Filter > Set 'Category' to 'Recycle Bin'

Create additional filters to narrow down the time range or user accounts or the 'Text Search' filter to search on the 'Details' column.

3) Use the search functions to attempt to locate missing files

It is possible that the content has not been deleted but has been moved elsewhere. Using what you can remember about filenames, metadata etc, use search filters to narrow down the possibilities.

4) To avoid the risk of files being accidentally deleted, consider restricting the Editing or Deletion permission assigned to the roles in your spaces

e.g. Manage Space > People tab > select a role, click the ellipsis (...) to change the current settings

The more tightly you control who has the permission to edit/delete files, the better you will be able to avoid accidental removal of files.

5) Asking for help, after you have considered the above

Please be aware that Third Light are not as familiar with your library as you are so if you believe files have gone missing and want us to help you search, please provide the following to us:

  1. The date when the files or folders were last known to exist.
  2. The name of the space, the name of the folder, the names or partial names of the files you can't find or any other identifiable information that will help us know what to look for.
  3. A list of users or groups that may have had delete access to the files or folders in question.

The more you can tell us about what the previous state your library looked like, the better chance we have of finding missing items.
