Introduction to this page

Controlled vocabularies are lists of approved metadata keywords.

Where a metadata field offers users a vocabulary, users can select keywords from a predefined list to apply to that field.

Field formats that can have vocabularies are:

How is this managed?

  • Each of the fields listed above has its own vocabulary; a dictionary of words approved for use in that field.
  • Vocabularies are created and edited in the metadata manager for each space or for the site: wherever a field is created that requires a controlled vocabulary.

What if a user attempts to save an unrecognized keyword?

When a user attempts to tag a file with a keyword that is not recognized in the vocabulary for that field, the keyword will not be added to the file.

When a space manager or site admin attempts to tag a file with a keyword that is not recognized in the vocabulary for that field, the keyword will appear in red, with a prompt to Remove. If the keyword is not removed, but instead saved, it will then appear in the vocabulary for this field.
